Boys & Girls Clubs of America STEM Convening running as a live virtual program

The Challenge

BGCA needed virtual events that could actually carry weight: scaling the STEM Convening from a 50-person room to a national audience without losing peer-to-peer depth, and launching Operation Impact Northeast, a multi-year initiative for 500+ leaders across 11 states and Puerto Rico, with enough energy to drive real buy-in. They wanted engagement & production strategy to prevent Zoom fatigue and their internal team wasn’t confident to run production or virtual event strategy for national launches.

Our Solution

We produced two marquee mobilizations end to end. STEM Convening ran as a 3-day program with facilitated “Show and Tells,” partner roundtables with groups like FIRST Robotics and Museum of Science Boston, and speaker coaching to move presenters from directive demos to inquiry-led facilitation. The NE Operation Impact Kickoff ran as a 2-hour strategic launch with custom “United for Impact” animated intros, live DJ, Mentimeter word clouds, 5 concurrent breakout rooms, and live swag-box unboxing to bridge physical and digital.

The Results

The NE Kickoff drew 400+ participants representing 163 organizations across 11 states and Puerto Rico. The STEM Convening doubled its previous in-person attendance and was called the best event participants had ever been to at Boys & Girls Club. Both events were turned into post-event insights dashboards and uploaded to Spillett Leadership University for ongoing staff training. Leadership described the production model as making their team “more sane” during high-stakes launches.

Featured Service

Live DJ & Gameshow

DJ Will Gill ran live inside the broadcast, handling roll calls, raffles, and chat challenges, and carrying energy through transitions that would otherwise flatten. It’s the single biggest reason attendees described a virtual BGCA event the way they’d describe a conference they flew to.

In Their Words

“Their support went far beyond tech. They helped us plan with intention, ensuring every piece connected to our learning objectives. They had ideas when I didn’t. Their thoroughness made sure the tech was smooth, the content was focused, and every detail was handled.”
